July 19, 2008 – There are two positions available at Cross Country Canada, both are full-time opportunities. The first is a Para-Nordic Administrative Assistant (PNAA) and the second is an Athlete Development Coordinator (ADC) – please review the job descriptions that follow.

Cross Country Canada (CCC), the National Sport Organization for cross-country skiing in Canada, is currently seeking to fill the position of Para-Nordic Administrative Assistant (PNAA).

The PNAA is a full-time position that will be located in Canmore, Alberta at Cross Country Canada’s head office at the Bill Warren Training Centre.

General Responsibilities. This Administrative Assistant position is responsible for providing professional management for the development and implementation of programs for Para-Nordic athletes in our National Team Programs. This position also provides program support for the grass roots PN development initiatives that are undertaken by the Para-Nordic Development Committee as approved by the Assistant Director of High Performance – Development (ADHP-D).

A successful candidate should have the ability to:

– take decisions related to his/her responsibilities and duties, within the operational direction and guidance provided by the DHP or ADHP-D;

– speak externally on behalf of the Association at the administrative level on matters related to cross-country skiing for Para-Nordic athletes and related programs;

– support the management and monitoring of budgets within the parameters of the approved Para-Nordic operating budget as set out in the annual High Performance Operational Plan;

– communicate effectively verbally and in writing (French language skills are highly desirable); and

– utilize all standard Microsoft Office products and have website content management skills.

The starting salary for this position ranges between $36,000 and $42,000, plus benefits, depending on qualifications and experience.

Job Description

Cross Country Canada – Para-Nordic Administrative Assistant

1. Position Title. Para-Nordic Administrative Assistant (PNAA).

2. Reporting Structure. The PNAA reports and is responsible and accountable directly to the Director of High Performance (DHP) and the Assistant Director for High Performance – Development (ADHP-D).

3. Authority. The PNAA derives his/her authority from the DHP for HP team tasks and from the ADHP-D for Development Program tasks. The PNAA is authorized to:

a. take decisions related to his/her responsibilities and duties, within the operational direction and guidance provided by the DHP or ADHP-D;

b. speak externally on behalf of the Association at the administrative level on matters related to cross-country skiing for Para-Nordic athletes and related programs; and

c. support the management and monitoring of budgets within the parameters of the approved Para-Nordic operating budget as set out in the annual High Performance Operational Plan.

4. General Scope of Responsibilities. The PNAA is the staff employee in the CCC National Office who is responsible for providing professional management for the development and implementation of programs for Para-Nordic athletes in our National Team Programs. This position also provides program support for the grass roots PN development initiatives that are undertaken by the PN Development Committee as approved by the ADHP-D. As the Long Term Athlete Development guide for athletes with a disability is developed the PNAA is expected to become knowledgeable in all stages of athlete development and will be expected to bring this knowledge into the support role played in PN Development projects.

5. Specific Responsibilities. The specific responsibilities of the PNAA shall include, but not be limited to, the following:

a. Knowledge and Expertise. By pursuing continuous education and self-improvement, the PNAA will maintain subject matter knowledge and expertise that is current and of the highest standard in the areas specified in paragraph 4 above.

b. High Performance – Para-Nordic National Ski Team (PNST). The PNAA is responsible for managing all administrative aspects of the PNST program as directed by the DHP or the HP Coordinator – Administration (HPCA). Duties include but are not limited to the following:

1) coordinating implementation of the PNST plan once approved, to include managing expenditures within budget;

2) reviewing, coding and submitting to the DHP or HPCA all invoices and expense claims related to PNST expenditures;

3) providing administrative support to the PNST staff as directed by the DHP;

4) within the general guidance issued by the DHP, coordinating with the Director of Marketing and Events Management (DMEM) and the HPCA the clothing and equipment requirements of the PNST and its staff;

5) liaising with the CPC to gain information and knowledge regarding high performance programs and support opportunities and likewise informing them of our program details;

6) ensuring that topical information on Para-Nordic athletes is posted on the CCC web-site with assistance from the HPCA;

7) ensuring that PNST competition calendars are known to the Coordinator of Media Relations and the Assistant Administrator, and that results are reported promptly to facilitate web site posting or preparation of media releases, and

8) ensuring that an annual collection of high quality photos of PNST action shots and team shots are acquired to support our promotional needs for all team levels. This extends to all Para-Nordic programming areas and is to be managed in accordance with CCC’s Photo Use Policy.

c. Para-Nordic Development Programs. The PNAA provides program support and website reporting to programs designed to recruit and facilitate the development of athletes with a disability under the direction of the ADHP-D. Programming support will be set out in conjunction with the initiatives determined by the PN Development Sub-Committee under CCC’s Coach and Athlete Development (CAD) area. The actual delivery of such programs will be carried out by CCC’s Para-Nordic Development Coordinators (East and West) and the PNAA will provide some planning coordinating function with the participating local clubs and Divisions. Duties include but are not limited to:

1) supporting the development and implementation of programs and projects as determined by the PN Development Sub-Committee. This extends to persons with a disability programs aimed at “first contact” initiatives;

2) supporting the field work of the Para-Nordic Development Coordinators;

3) ensuring that communication and collaboration takes place with the parent divisions of CCC clubs that are involved in PN programs;

4) providing general assistance for the implementation of CCC’s LTAD for persons with a disability;

5) providing general assistance and advice to the DMEM with components of CCC’s events program, to ensure that provision is made for the competitive needs of athletes with a disability, and

6) developing and efficiently operating a national athlete database that collects and manages standardized information on developing disabled athletes who have been identified as having high potential.

6. General Expectations. The PNAA is expected to:

1. keep the DHP/ADHP-D well informed on matters within his/her responsibility;

2. establish productive working relationships with staff in external agencies (e.g. CPC, Prov. Para Orgs) who are involved in promoting and supporting Paralympic sport opportunities; and

3. contribute to the creation and projection of a CCC image characterized by inclusiveness, integrity, reliability, respect, courtesy, openness and commitment to excellence.

4. ensure that all activities are closely coordinated with those of other CCC staff working with the PN high performance teams and the PN development initiatives.

Job Description

1. Position Title: Athlete Development Coordinator (ADC).

2. Reporting Structure:

a. The ADC is responsible and accountable directly to the Executive Director for matters of staff administration and workload management.

b. In addition, the ADC provides staff support and is responsible and accountable for program support to the Chairpersons of the following operational committees (each of whom has authority for program and financial decisions within their respective mandates):

– the Coaching and Athlete Development Committee (CAD) and all of its project areas; and

– the Women on Skis Committee with respect to athlete development initiatives.

3. General Scope of Responsibilities: The ADC is responsible for providing administrative and promotional support for the programming areas listed above as they relate to CCC’s athlete development programs and initiatives.

4. Specific Responsibilities: The specific responsibilities of the ADC shall include, but will not be limited to, the following:

a. Supporting the CAD Committee, its relevant sub-committees, and project teams in developing and delivering programs. Specific duties include:

1) support the development and delivery of the SDP program (Bunnyrabbit, Jackrabbit and Track Attack):

a. managing the inventory of participant materials;

b. collect, process, and file registration forms as appropriate;

c. distribute order forms, fill orders, ship materials, etc;

2) support the delivery of Racing Rocks initiatives:

a. prepare and circulate application forms and technical guidelines; promote opportunities;

b. process application forms, ship materials; monitor compliance to program guidelines, keep accurate records;

c. develop and order program materials annually;

3) promote and encourage affordable camps for athletes in the Learning to Train stage of development;

4) promote athlete development programs and initiatives within the CAD mandate:

a. prepare and mail out the annual fall SDP start up kits;

b. promote and encourage LTAD-aligned competitive activities nation-wide;

c. in cooperation with divisions, coordinate promotional initiatives to expand athlete development programs and initiatives;

5) assist project teams with the development of publications:

a. assist with gathering resource information, artwork, photos;

b. proof documents;

c. coordinate arrangements with the publisher and track deliveries;

6) support program financial management:

a. assist with grant applications and reports as needed (SPDG grants, etc.);

b. manage budgets for specific projects within area of responsibility;

c. cross check orders and invoices for both clients (Divisions) and suppliers;

7) provide inventory control of athlete development materials:

a. manage stock in inventory (course materials, clothing, teaching aids, etc);

b. provide periodic audits of materials and supplies within area of responsibility, including March 31 audit annually;

c. re-order materials as appropriate;

d. maintain master binders of all documents that are published including a CD-ROM copy;

e. maintain a comprehensive photo library of athletes in action up to and including the Learning to Compete stage;

8) support the maintenance of program area content on CCC’s web site;

9) promote and support healthy sponsor relations where they are directly engaged in CAD related projects or programs

10) collect and organize program statistical data for CAD reports;

11) promote the CAC/CCC Coaches Code of Conduct;

12) maintain up to date contact lists (master list of Division SDP Coordinators, suppliers of CAD materials, etc.).

b. Club Development: Supporting the CAD Committee and its relevant sub-committees in promoting the establishment of full service clubs that can provide a progression of athlete development opportunities up to and including the Learning to Compete level. Specific duties include:

1) promote and encourage the development of effective full service cross-country ski clubs);

2) promote and encourage the vertical and horizontal integration of coach and athlete development at all stages of the CCC Long Term Athlete Development model;

c. Women on Skis Programming: Support the Women on Skis sub-committee with administrative support for identified projects relating to coaching and athlete development.

1) promote and encourage the recruitment and retention of female athletes by providing administrative and promotional support to special initiatives.

2) assist with the production and distribution of materials that relate to female athlete development.

5. General Expectations. The CAD is expected to:

1. prioritize tasks and strive to achieve high standards in terms of quality and timeliness of all work products;

2. maintain current knowledge on the general concepts of athlete development and acquire a thorough knowledge of CCC LTAD guide and its implications in CAD operations;

3. seek professional development opportunities and experiences that will further develop understandings of how our sport system functions across the entire LTAD spectrum;

4. contribute to the creation and projection of a CCC image characterized by inclusiveness, integrity, reliability, respect, courtesy, openness and commitment to excellence;

5. establish strong and productive relationships with the Divisions, thereby improving communication and enhancing credibility and effectiveness;

6. be a supportive and effective member of CCC’s centralized administrative team.
