The Canadian Olympic Committee (COC) is a national, private, not-for-profit organization committed to high-performance sports excellence. We are the largest private supporter of high performance sport in Canada and we are responsible for all aspects of Canada’s involvement in the Olympic Movement, including participation in the Olympic and Pan American Games.

The COC is seeking an enthusiastic individual to join the Marketing & Strategic Partnerships team in the Toronto office in the role of Assistant, Marketing & Strategic Partnerships. This area within the COC provides best-in-class service to Canadian Olympic Team marketing and strategic partners.

Reporting to the Executive Director, Partnerships the candidate will support this area by leading its administrative functions. Areas of responsibility will include Administrative Support and Partner Support. This position may liaise with agencies, vendors, and other related external parties and as such, client service experience is essential. In addition, a passion for the Olympic Movement and/or sport is a plus.

Core Responsibilities and Priorities

Administrative Support

Manage and organize the office of the Executive Director (ED), including but not necessarily limited to:

  • Organize and manage ED’s calendar, including meeting scheduling, facility arrangements, transportation, agendas and supporting materials
  • Act as a recording administrator in meetings, as required, and note/communicate follow-up items with/for attendees
  • Compose correspondence, reports, presentations and other documents
  • Check deadlines on incoming requests and put preliminary work in play
  • Arrange all ED travel and trip files; Complete expense reports accurately and in a timely fashion
  • Answer phone calls, as requested and handle all inquiries within capacity; Arrange “callbacks” and provide backup materials to safeguard against lost time
  • Handle daily email inquiries within capacity; Organize, prioritize and bring to the attention of the ED as appropriate
  • Ensure hard-copy and electronic filing systems are up-to-date, efficient, and readily accessible
  • Assist in on-boarding new employees, partners and visitors
  • Open and distribute mail in priority of action order
  • Arrange for group supplies orders
  • Provide relief support to reception area and assist other administrative assistants, when needed

Partner Support

Help the 15+ person Marketing & Strategic Partnerships team, including but not necessarily limited to:

  • Support the needs/meetings with the ED, Partnerships
  • Support the management of the Gifting Program, including fulfillment
  • Lead and keep accurately updated the Partner database; Responsible for centralized communications with Partners
  • Support in managing the Partnerships budget
  • Coordinate administrative tasks prior to, during and after Partner Workshops, conferences, events
  • Oversee central contract management and file system
  • Support the ED and team’s efforts in the renewals and new business development process
  • Other special projects, as may be assigned

Qualifications and Critical Skills

  • University or college graduation in a related field
  • 3-5 years demonstrated experience in office administration
  • Experience managing meetings and events and other projects
  • Excellent organizational skills, with demonstrated ability to effectively prioritize tasks
  • Outstanding oral and written communication skills, including spelling and grammar
  • Strong interpersonal skills and ability to work with employees and managers at all levels
  • Ability to respond to varied deadlines and work in an effective team environment, as well as work independently
  • Well organized and efficient with ability to prioritize, multi-task within a fast-paced environment
  • Acute attention to detail
  • Computer software expertise required, including Power Point, Word, Excel, Outlook
  • Enthusiasm for amateur sport
  • Bilingualism strongly preferred (English and French)
  • General desire to help, problem-solve, and keep things moving with a friendly, professional, ‘can-do’ approach and attitude
