November 06, 2017 (Red Deer, AB) – The 2019 Canada Winter Games Red Deer Host Society is looking to fill the position of Administrative Assistant, Marketing & Revenue. In less than two years, thousands of our country’s best and brightest will set their sights on Red Deer as we host the 2019 Canada Winter Games.
Up to 3,600 participants from across Canada, 400 media, 500 VIPs, 500 officials and thousands of visitors will join us for the two-week event. Featuring 19 sports and a major arts and cultural festival, the 2019 Canada Games will be the largest event in Red Deer’s history.The Administrative Assistant, Marketing & Revenue will support activities related to the areas of Marketing and Revenue for the upcoming 2019 Games.
Duties and Responsibilities
This role will be responsible for, but not limited to, the following:
– Composing, editing, formatting, proofreading and updating a variety of materials
– Coordinating schedules and multiple calendars for meetings or other events
– Providing administrative support for meetings, including room reservations, arranging catering and preparation of agendas, minutes and packages for attendees
– Assisting with coding and preparing invoices and receipts for submission
– Providing excellent customer service in all interactions
– Responding directly to routine public inquiries and liaising with vendors and stakeholders
– Performing duties relating to electronic records management
– Assisting with special projects as required, including planning, setting up/taking down and participating in local community events
– Operating and providing assistance for others of general office and clerical support
– Acting as a liaison for the Marketing & Revenue area within the organization
– Other duties as reasonably required. Due to the nature of our organization, and especially so during the time leading up to, and during the actual Games, all staff will be required to act in capacities beyond their formal job description. These will always be reasonable; however, the expectation is that staff will step up in ways that may not normally be expected of them.
Required Skills, Experiences and Abilities
– Diploma in Office Administration, Marketing, Communications or other related fields.
– Two years’ experience in an administrative position that includes experience with the public. A combined equivalent of education and experience may be considered.
– Strong organizational, administration, planning and presentation skills.
– Excellent communication skills, written and oral, in English is required and fluency in French is an asset.
– Developed skills in formatting documents and presentation materials.
– Experience with Google’s G Suite programs, Gmail, Docs, Slides, Calendar, etc. (or equivalent Microsoft Office programs) is required.
– Ability to work in a team environment with both staff and volunteers.
– Knowledge and experience working in a not-for-profit, events, sports or multi-sport Games environment is an asset.
Note
– Formal office hours are Monday to Friday, 8 a.m. until 4:30 p.m.; however, flexibility will be required. This may include various evening/weekend committee work, varying workload/ deadlines, Games time requirements, etc.
