Job Opportunity – Manager, Sport and Programming at Whistler Olympic Park

July 09, 2016 (Whistler, BC) – Whistler Sport Legacies is seeking a Manager, Sport and Programming who is responsible for managing the delivery of Whistler Sport Legacies (WSL) programs at Whistler Olympic Park (WOP), liaising with various stakeholders for sport services, and servicing as primary point of contact for sport events.  With an unwavering belief in sport development in Canada, in accordance with the WSL’s mission, vision, and values, this role is focused on the delivery of the WSL sport plan as it relates to WOP.

Reporting to the Managing Director, WOP this role works co-operatively with sport organizations to directly enhance the quality of sport delivery at WOP while growing sport.  Working with the Vice President, Sport this role continues and evolves sport delivery at WOP and strategic goals.  This is an evolving position and requires flexibility to assist the team with other activities or initiatives including the requirement to work weekends and occasional evenings.
Responsibilities:

Programming

– Manage the development, delivery, and evolution of WOP programs including multi-sport, ski jumping, performance camps, and other sport initiatives
– Work closely with other departments to ensure sport activities, programming, and events are integrated with Guest Services and Operations
– Act as primary point of contact with external sport organizations conducting programs at WOP
– Manage WOP school programs including scheduling, administration, and external communications
– Schedule, train, and coordinate WOP Sport Department volunteers
– Develop and execute sport event agreements
– Act as member of local organizing committee for WOP hosted sport events as required
– Develop and implement mechanisms to enhance the quality of all WOP sport programming
– Provide guidance and support to WOP Operation’s team to ensure the effective, efficient, and safe delivery of sport events and sport programs
– Develop and implement an internal and external Sport Communications Plan
– Work with VP, Sport and WSL colleagues with preparation of the WSL sport plan as directed
– Coordinate the Nordic sport advisory group comprised of internal and external stakeholders ensuring open and transparent communication with user groups
– Support Operation’s team(s) to ensure the preparation and tear-down of teaching, event, and training areas
– Proactively seek out and participate in partnership initiatives which will advance WSL strategic priorities

Business and Operational Deliverables

– In conjunction with the WOP leadership team; develop and manage an annual business plan and overall departmental budget reflecting on the sport plan
– Act as business unit lead for staff scheduling and payroll approval
– Manage sport services and event agreements
– Maintain sport tracking tools and data bases as directed and required
– Responsible for management of appropriate partner/vendor relationships
– Compose and prepare reports and correspondence as required
– Ensure an effective information flow between WOP leadership team, other WSL departments, venues, WOP staff, volunteers, and contractors
– Support the delivery of corporate events
– Maintain sport equipment inventory as required and directed
– Ensure all purchases, related to the Sport department, are pre-approved and are completed in an accurate and timely manner and processed via the PO system as per the WSL purchasing policy
– Prepare and administer department invoicing as required
– Work closely with the Marketing, Communication and Sales department to promote programs to the fullest
– Champion and adhere to all WSL corporate policies, procedures, and contribute to the development of WOP policies and procedures
– Responsible for overall guest service philosophy and service consistencies in related departments at WOP
– Carry out WSL’s customer service philosophy AIM:All Interactions Matter

Leadership and Culture

– Responsible for managing, scheduling, and providing leadership to department colleagues and volunteers with emphasis on the following areas according to established HR procedures:
– Position Description review
– Conduct performance reviews
– Recruitment and selection
– Orientation and ongoing training
– Adherence to and creation of departmental/WSL policies and procedures
– Regular performance management and conflict resolution
– Communicate important and time-sensitive operational and organizational messages to colleagues and attend meetings as required
– Foster a strong culture of health and safety; work with Human Resources, and Safety to ensure that all WorkSafe BC and BC Safety Authority requirements are being met
– Positive representative of Whistler Sport Legacies, both internally and externally
– Take personal accountability and responsibility for actions; take initiative to find creative solutions to problems or issues
– Assist colleagues with other duties as assigned or required

Education/Experience

– Diploma, certificate or degree from a recognized post-secondary institution in a related field or equivalent combination of education and experience required
– Experience with establishing and maintaining stakeholder relationships required
– Sport and recreation program delivery experience required
– Valid BC Class 5 Driver’s License required
– Event management / coordination experience preferred
– Knowledge of sport development and the Long Term Athlete Development Model an asset
– Experience and technical understanding of Nordic sports an asset
– Class 4 Driver’s License or Class 4 Unrestricted Driver’s License an asset
– PAL certification (Firearms Acquisition License) an asset
– Coaching certification an asset

Skills

– Proven ability to communicate effectively: written and verbal
– Ability to interact effectively with the general public, volunteers, sport groups and organizations
– Advanced computer skills including Excel, Word, PowerPoint and organizational software
– Proven leadership skills
– Strong organizational skills and attention to detail
– Ability to work in a dynamic, fast paced, team environment
– Self-directed entrepreneurial spirit is essential
– Possess critical thinking and reflective thinking skills

– Reliable transportation required (WOP is not serviced by transit)

Languages

– Fluency in English required
– Fluency in French an asset

Physical Requirements:

– Ability to work outdoors in variable weather conditions for extended periods of time
– Ability to stand for long periods of time
– Ability to lift 50lbs
