Specialist, NSF Services
Reporting to the Director, Sport System Excellence & Relations, the Specialist, NSF Services is responsible managing and executing the programs and services that are offered by the National Sport Federation Services department including the Olympic Solidarity Program, the NSF Enhancement Initiative, the NSF Leadership Summit, and NSF Recognition of new sports and onboarding. The Specialist contributes to the planning and vision of the unit.
CORE RESPONSIBILITIES AND PRIORITIES
Strategic Planning (4%)
– Support the creation of long range and short-term plans with objectives and key performance indicators
– Liaise with internal stakeholders and sport partners to ensure priorities are aligned
– Ensure a diversity and inclusion lens is considered in all NSF Services activities
People Management (5%)
– Hire, manage and mentor contractors and interns (up to 3 individuals) to ensure successful delivery on key COC objectives. Inspire a culture of recognition
NSF Services (8%):
– Oversee the maintenance of internal databases for Canadians serving on International Federations and NSF leadership positions (CEOs/Presidents/Chairs)
– Contribute to building and strengthening relationships with NSFs (recognizing breakthrough performances, drafting letters of congratulations and thanks)
– Liaise with sport partners to share information and provide updates
Manage the NSF Enhancement Initiative (EI) (40%)
– Initiate and facilitate the sharing of resources and best practices among NSFs
– Manage the NSF CEO communications plan
– Maintain the digital NSF Sharing Centre platform, facilitate connections amongst NSFs
– Develop and manage NSF Leadership Initiatives
– Manage NSF EI “for all” initiatives
– Manage the execution, reporting, and evaluation of NSF EI targeted project funding
– Manage and monitor the NSF EI budget
– Where possible, put a focus on delivering elements of the initiatives in the five provinces identified as key partners for provincial alignment
NSF Leadership Summits and Session Workshops (4%)
– Contribute to the overall vision and direction of the events
– Create the communications plan
– Manage speaker and special guest recruitment and logistics
– Create and execute work back plans
– Manage content creation (PowerPoints, agendas, speaker biographies, etc.)
– Manage on-site event staff
Manage the Olympic Solidarity program (35%)
– Create the Olympic Solidarity quadrennial funding strategy in collaboration with internal stakeholders and sport partners for approval by the Executive Director of Sport
– Manage relationships with the IOC Olympic Solidarity and Pan American Sport Organization (PASO)
– Generate Olympic Solidarity applications and reports for all programming
– Liaise with Olympic Performance Managers on communication with NSFs regarding athlete and Games preparation programs
– Review incoming reports from NSFs and ensure payment is made in a timely fashion
– Track and analyze project status and funding
– Lead logistics for Olympic Solidarity courses hosted in Canada
– Provide support should the scope of the Olympic Solidarity programs change
Manage the COC’s NSF Recognition process (4%)
– Be the main point of contact for all new NSF recognition inquiries
– Ensure policies and procedures are efficient and up to date
– Review incoming requests and liaise with the COC’s Deputy General Counsel and Governance and Ethics Committee
– Provide individualized support and onboarding to newly recognized NSFs
QUALIFICATIONS AND CRITICAL SKILLS
Education and Experience
– University degree, preferably in a sport related field
– 3-5 years work experience, preferably in a national sport federation with administrative and coordination responsibilities
– Olympian, high performance athlete, high performance coach or administrator is an asset
Skills and Abilities
– Knowledge and understanding of the Canadian Sport System, derived from direct experience with NSFs
– Ability to establish and nurture positive work relationships with colleagues, national sport federations, and other stakeholders
– Financial and budget planning and management skills with strong attention to detail
– Project management skills with the ability to handle high pressure situations while balancing several projects at the same time
– Management skills including planning, project management, problem solving, and leadership
– Proficiency in excel, word, and PowerPoint and Google Docs
– Comfortable adapting to new technology
– Strong communication skills (verbal and written)
– Ability to work in and contribute to a strong team environment
– Experience implementing policies and processes to facilitate improved planning on projects is preferred
– Bilingualism (English, French) required
– Work some evenings and weekends, domestic travel two to four times per year
