Job Opportunity at Canadian Olympic Committee – Bilingual Receptionist & Operations Assistant

We are the largest private supporter of high performance sport in Canada and we are responsible for all aspects of Canada’s involvement in the Olympic Movement, including participation in the Olympic and Pan American Games.

Job Description:
The COC is seeking a dynamic individual to join its Toronto office. The incumbent will play an integral part of representing the COC to the public as first point of contact by providing a high level of customer service to incoming callers and walk in guests in a timely manner and to support the administrative and general office requirements of the Operations function. In this position, the incumbent must be available to work some evenings and weekends, during peak event periods. Core Responsibilities and Priorities:

Reception
• Act as first point of contact for all incoming guests;
• Answer all incoming calls: re-direct calls to the appropriate COC member or responding to enquiries, as needed.

Operations Administration
• Assist in arranging committee, management meetings; Assist with preparation and distribution of meeting materials;
• Code invoices for approval;
• Route and file various documents;
• Draft and proof read correspondence;
• Assist the finance department with invoices from Staples, Wheels, Co-op, & Purolator, etc.
• Provide general administration support to the EA’s of the CEO/ including preparing mail merges, coordinating event invitations, updating contact lists, processing mailings and maintaining files and records.
• Assist CEO EA when required
• Update Staff Directory list when needed

General Office Administration
• Prepare courier packages for overnight or same day delivery;
• Provide minor translations, as required;
• Prepare outgoing mail and post daily;
• Receive, open and distribute incoming courier packages and mail;
• Monitor, order and maintain all office supplies;
• Oversee maintenance of office equipment and ensure all equipment are functional at all times
• Oversee maintenance and supplies of common areas, including reception area, boardroom, production room
• Daily maintenance of kitchen (dishwasher, fresh coffee, dishes, etc.),
• Daily maintenance of meeting rooms (fill up mini-fridge when needed, etc.)
• Coordinate boardroom bookings, catering needs, room set-up and meeting logistics as required; Liaise with building management regarding office maintenance issues
• Manage office storage for all departments.
• Track staff birthdays
• Keep the front entrance, common office areas tidy & presentable at all times
• Purchase and present healthy food items for each Monday morning breakfast

Other
• Participate in administration/coordination meetings, as scheduled; and
• Special Projects as may be assigned.

Qualifications and Critical Skills:
1. Fully bilingual in French and English. Other languages an asset
2. Possess outstanding interpersonal/communication skills
3. Pleasant and professional telephone manner
4. Demonstrates flexibility, initiative and a strong attention to detail
5. A self starter with strong motivation to take on multiple initiatives and ability to adjust to changing priorities and competing deadlines.
6. Ability to thrive in a high stress, creative environment while maintaining a positive attitude
7. Strong technical skills including: Microsoft Word, Excel, Outlook, Power Point is a must.
8. 2 years experience in an administrative function preferred
9. College Diploma / Degree preferred
10. Knowledge and enthusiasm about sport in Canada an asset.
11. Demonstrate consistent attendance record with the ability to maintain this same standard.
